Order Process:

Payment:

Since slots are reserved/planned in advance, I make contracts about 3 months before work is started. Payment is due once the contract is signed. Only after we both signed the contract we have a work agreement. I will only start working on a piece once the full sum has been paid. Payment plans are not possible.

If you applied for a slot and have gotten an estimated price, you can also have a look into my sample contract, to see the exact details, before making any decisions. This is always an option, my contracts are not a secret.

For Wannados, payment is discussed individually.

Non Payment / Refunds/ Cancellation:

If you have a reason to seek a refund, please contact me first at geistwerke (at ) gmail. com . We will always look to be as helpful as possible, and ultimately find the best solution.

If the customer cancels the commission, part of the payments made will be refunded to the Commissioner ( 30% are not refundable and cover the material outlay and work done up until that point. How much will be refunded depends on how far along the piece is.) Depending on how much work has been completed, the Artist retains the right to rework and resell the piece to recoup their losses of time and expenditure. Once more than 50% of a piece is finished, it is no longer eligible for a refund. The finished piece will be handed over to the customer.

For Wannados, different rules apply.

Please note, as each costume is a one of a kind / custom piece, the 14 day cooling off period under German law regulating distance sales does not apply.

The artist reserves the right to cancel any order for any reason, in this case the buyer will be issued a refund. This refund may take a while, if the artist first needs to rework the original commission and sell it to cover the loss.

However, I am very much happy to find a personal solution for you, should you need to cancel your piece. Communication is key.

Fittings:

Any customers from germany or close to the workshop can come by and have a free fitting for their custom piece. You can also book an appointment for discussing materials and parts for costumes and fursuits. In special cases, I offer fitting at conventions I attend.

Repairs & Warranty:

The finished piece is covered under warranty by the Artist for 90 days after the customer receives their piece, covering problems or defects that clearly originate from the crafting process.

Once the piece has arrived, the customer is to check the piece for any defects within 2 days – check if your Costume has an open seam, or if anything happened during shipping! Should something be wrong, a repair will be offered.

Any defects that arise after 90 days will be fixed on a case by case basis if they‘re clearly a crafting fault (faulty seams for example.) For traditional repairs, fair wear and tear etc. a small fee applies. No warranty is given for any problems that arise during improper handling of the piece.

Time frame for the completion of works:

Once I have started sewing, the process usually takes 2-12 months, however this can vary due to different circumstances (Complexity of design, material availability, life events etc.)

Every custom piece has a guaranteed turnaround time for completion. The Artist will keep the Commissioner in the loop and give prompt notice should anything be likely to delay the piece.

Specific deadlines or completion dates for events etc. can be discussed with prior agreement, however specific arrival dates will depend on shipping / outside factors, hence the date is typically quoted to the month the piece gets finished as opposed to an exact date.

Changes during the process:

I work from the detailed invoice and spec sheet we create for each order. Small adjustments during the construction phase are possible – I send periodic WIPS (work in progress updates) so please notify me if you want something changed based on these. Any major changes during the build that go above and beyond a previously agreed design may involve a fee. You can always decide if you wish to pay for an adjustment that differs substantially from the original plan, or if I should proceed as is.

Fabric and Color Matching:

Please be aware that fabric comes in a variety of colours, sometimes it’s a near impossibility to get the exact shade or color of any given character. I will always look to find the closest match that stays true to your overall design and compliments the other fabrics used. (Always remember that colours also differ when viewing on a computer or via a photograph.)

Shipping:

Once the piece is finished a shipping quote can be agreed using the commissioner‘s preferred method – The shipping costs are to be paid full by the customer. Each piece should be insured and the customer will be provided with full tracking details.

The Artist is not liable for any additional unforeseen shipping / customs fees / local taxes or damages that arise during transit. Should the item arrive damaged please contact both the shipping company and the artist immediately to support any claim.

In individual cases, it‘s possible to bring the finished piece to a convention, or if local to Germany to pick up the piece from my workshop.

Liability:

The artist is not responsible for any damages to or by the customer that occur whilst wearing the completed piece, for allergic reactions due to the materials used, or other unforeseen circumstances.

Please also be aware that whilst we maintain a clean work environment we personally have cats and a dog as such there‘s a tiny chance of cat or dog hair exposure in passing, even after carefully checking.

Please be aware that I do not rebuild fanart or otherwise copyrighted characters!

Please notify me if you have any major allergies!

Portfolio use:

I reserve the right to use any photography or videos we’ve taken of the piece at any point to promote our craft, eg social media or print as part of a portfolio/display ect.

If you wish for your piece to not appear on any social media, please contact me and I am happy to discuss any requests
